Who we are
DocOS is practice-operations software for medical practices. DocOS is operated by Javier Caballero ("DocOS", "we", "us"). This policy explains what we collect through our website at www.docos.org and through DocOS Staff Alerts, our text message program, and what we do with it.

What this policy covers
- The DocOS website at www.docos.org, including these SMS enrollment pages.
- DocOS Staff Alerts, the SMS program described in our SMS Terms & Conditions.
It does not cover the information a practice keeps inside its own DocOS installation, such as patient records. That information belongs to the practice, lives in that practice's own separate installation and database, and is governed by the practice's agreement with DocOS, including its business associate agreement. Nothing in this policy changes that agreement.
Information we collect for messaging
When you enroll in DocOS Staff Alerts, we collect the following, and nothing else:
- Your name
- So we know whose enrollment it is and can address you if you contact us.
- Your mobile phone number
- To send the alerts you asked for and to receive your STOP, START, and HELP replies.
- Your email address
- To match your enrollment to your DocOS account and to reach you about your enrollment if a text can't.
- Your consent record
- The exact consent wording you agreed to, the date and time you agreed, the address of the page you enrolled on, and your browser's user-agent string (its name and version). We keep this as proof that you asked to receive messages.
- Messaging records
- When each message was sent, the delivery status reported by the carrier, and the keywords you text us, such as STOP, START, or HELP.
What we don't collect
The enrollment form asks only for your own contact details. We do not ask for, and you should not send, patient or medical information of any kind. Our alerts never contain patient names, dates of birth, record numbers, insurance IDs, or clinical details. They tell you that something assigned to you needs attention, and the details stay inside DocOS.
How we use it
We use the information above only to run DocOS Staff Alerts:
- To send the alerts described in the SMS Terms: past-due tasks, upcoming deadlines, escalations, and a morning summary.
- To send a one-time enrollment confirmation, answer HELP requests, and confirm when you opt out.
- To honor opt-outs. Once you reply STOP, we stop texting that number.
- To keep proof of your consent and opt-out, as carrier rules and the law require.
- To troubleshoot delivery problems and protect the program from misuse.
We do not use your mobile number for marketing, and DocOS Staff Alerts never sends promotional messages.
Retention and deletion
- Enrollment details (name, mobile number, email): kept while you're enrolled, and deleted within 30 days after you opt out, except as noted below.
- Consent and opt-out records: kept for four years after you opt out, then deleted. We keep them so we can show when you agreed to receive messages and when you stopped.
- Messaging records: kept for up to 12 months, then deleted.
To have your information deleted, email support@docos.org or call (207) 415-7504. We'll confirm your request and complete it within 30 days. We keep one thing even after deletion: your number and the fact that you opted out, so we never text that number again, along with your consent record for the period above where the law requires it.
Opting out and getting help
Text STOP to unsubscribe at any time. Reply STOP to cancel, and you'll receive one final message confirming it, then nothing further. STOPALL, UNSUBSCRIBE, CANCEL, END, and QUIT work too. To rejoin later, reply START.

How we protect it
Access to enrollment and consent records is limited to the people who operate the program. We use reasonable administrative and technical safeguards suited to the information we hold. No method of transmitting or storing information is perfectly secure, so we can't promise absolute security, but we'll tell affected people promptly if we learn their information was exposed.
Children
DocOS Staff Alerts is for adults 18 and older using DocOS in a work capacity. We don't knowingly collect information from anyone under 18. If you believe a minor has enrolled, contact us and we'll delete the enrollment.
Changes to this policy
If we change this policy, we'll update the effective date at the top of this page. If a change materially affects how we use your mobile number, we'll tell enrolled users by text or email before it takes effect.
